Create tasks from email, files and chat
No need to copy things over by hand. Emails, files and chat messages can become tasks with the source attached, so you can go back to whatever the task is about.
Choose where the task goes
From email and files, the Add task to dialog opens:
- My Inbox — a private task in Inbox
- Project rooms — a project task in one of the rooms you belong to (business accounts)
The message Task added to Inbox or Task added to project room confirms it. If you create a private task from the same email or file a second time, you get the same task back rather than a copy.
From email
Create task from mail applies to the whole conversation and is found in three places:
- in the menu on a conversation in the list
- as an icon in the toolbar above the open conversation
- in the more-options menu on mobile
Create task from message is available on each individual message in an open conversation and applies to that message only (not in Drafts).
The task gets the subject as its title and the beginning of the message as a note. In the list it gets the Mail badge, and the subject is shown as the source.
From files
Open Details for a file and click Create task from file, or right-click the file and choose the same. The option isn't available in Shared with me or Trash, and applies to files, not folders.
Choose the Task type at the top of the dialog:
| Task type | Title | Hint |
|---|---|---|
| Follow up | Follow up | Remember to handle this file. |
| Review | Review | Read and give feedback. |
| Approval request | Get approval for | Get approval or sign-off. |
The note is filled in with Type, File, Version (from version 2 onwards), Modified and Modified by. If the file has several versions, the version is also part of the source, for example Tilbud.docx · v3. The task gets the File badge.
From chat
Next to a message in a chat room you'll find the Task button (Create a personal task from this message). The task lands in Inbox with the message text as its title, and you get the message Personal task created from message. The button changes to Task created, and the badge in the list is Chat.
In encrypted rooms and direct messages, the message text is not copied into the task. The task is then titled Follow up in {room}, and you find the message itself via the source.
In a project room, Task creates a project task instead (Create a project task from this message), visible to the project's members. Create task on polls and decisions in the project room does the same; these tasks get the Poll and Decision badges.
Jump back to the source
Open the task. The source type is shown at the top of the details, and at the bottom you'll find:
- Open source — opens the email, file or chat message the task was created from
- Open project room — for project tasks, with the task highlighted in the room
The source's name (subject, file name or room name) is also shown as a badge on the task in the list when it isn't in a project.
Attachments
The task doesn't copy attachments. Create the task from the email, and use Open source when you need the attachment.
