Calendar events
An event is anything you put in your calendar — a meeting, an appointment, a deadline, a birthday-cake run. You can invite guests, attach a video meeting to the event, and add a location with a map.
Create a new event
Three ways:
From the top button:
- Click New event at the top of Calendar
From the grid:
- Click a time block in the calendar grid — this opens a quick modal with the start time pre-filled
Quick scheduling:
- Use the search/quickplan field (the preset above the title input) — type what you're planning and press Enter to open the modal
Fields you fill in
In the New event modal you'll find:

| All day | Toggle to make it all-day instead of a set time |
| Starts / Ends | Date and time. The default duration is controlled by Preferences (15m/30m/45m/60m) |
| Location | Address or room name — autocompletion from the map if you type a street address |
| Guests | Email addresses, comma-separated. Press Enter to add. Each guest gets a calendar invitation |
| Allow guests without an account | Toggle — on when you want people without an onmeil.eu account to be able to join |
| Category (label) | Pick a label for color coding — see Labels |
| Calendar | Which calendar the event should be saved in (if you have several) |
Add a video meeting
Click the Add video meeting toggle in the modal. We automatically generate a meet.onmeil.eu link when the event is saved — helper text: "Generates a meet.onmeil.eu link when you create the event." During creation: "The meeting is added when you save".
After saving, the link appears in the event as Video meeting with a Join meeting button that guests can click from the invitation.
Smart video detection (Teams, Zoom, Meet, Webex)
Pasted a link into an event's description? We automatically detect links to Teams, Zoom, Google Meet, and Webex and show them as a Video meeting block at the top — so guests can click straight in without hunting through the description.
Location and map
When you type a street address in the Location field, we show a small map in the event details. Click Zoom in / Zoom out to adjust the view.
Invite guests
Each guest is added as a row in the attendee list — with a status (Going / Declined / Maybe / No reply). As the organizer, you can:
- Mark someone as optional — can come but doesn't have to
- Make someone a co-host
- Resend the invitation if someone hasn't replied

Create a shareable link
You can share the event with people who don't have an onmeil.eu account via a Shareable link — anyone with the link can see the event details and respond. See Share an event publicly.
Save
Click Create (or Save when editing). The event appears immediately in the calendar grid and invitees get an email.
While we send invitations: Creating…. If something fails during sending, you'll be notified.
Edit or delete an event
Click an existing event to open the detail panel. You can:
- Edit any field
- Cancel to notify guests
- Delete to remove without notifying
For events with guests, you'll get the choice to send an update — Send update to everyone / Send only to changed / Don't send.
History
Every event has a history — see who did what (created, edited, RSVP reply, deleted). Click Show full history → in the detail panel, or see Event history.
Tips
- Set a label (category) as soon as you create — that way the event is color-coded in the calendar view
- Use all-day for days where the whole day is booked (travel, vacation, courses)
- Upload an .ics if you have existing events to import (see Add a calendar)
